Complete Stallholder Guide

Application Process

To participate in Lunaqwa Markets, please register with us first via our booking app. This helps us understand your business nature, location, and category when you apply for our markets. We strive to give all our stallholders the maximum return on their stall fee. At smaller events, we aim to provide a level of exclusivity, and at larger events, we have strict limits on each category.

Top Tip
Upload photos of your logo and products as we use these in our social media posts.

Acceptance of stallholders is on a first-come basis. However, if your category is full for an event then don’t despair you can apply for the waitlist. Please do apply, as some categories have ranges that allow for more vendors upon review, and we do get cancellations. Preference will also be given to local businesses where possible.

We understand that sometimes you may be unable to attend an event. We allow you to postpone a booking to an alternative date at our discretion, with an admin fee. Please nominate the alternative date at the time of postponement. Note that postponement cannot be used to attend a market with a different provider.

Stalls

Indoor stalls are a standard size of 2m x 2m, and outdoor stalls are for a 3m x 3m gazebo. Some venues offer larger or double spaces. So it’s important to always plan your display within this space.

Top Tip
Do a dummy stall setup at home and get family members to try shopping/browsing with you. Photograph the display for memory and pack it down into display and restock boxes.

Bring enough inventory to meet potential demand. It’s better to have a bit more than to run out early. Make sure you have petty cash and work out change for your products from typical notes such as $20, $50, and $100. Most stallholders offer EFTPOS facilities using popular apps like Square or Zeller. Ensure your card reader and mobile device are charged, and if you pass on the fees, have signage to inform customers.

Use attractive displays to draw attention. Consider using different heights, colours, and textures to make your stall visually appealing. Have clear signage with your business name and any special offers. Consistent branding helps customers remember you. Use your logo, business cards, and packaging to reinforce your brand.

Top Tip
Clearly label your prices and offer a range of price points to attract different customers.

Some venues offer spaces with power access for an additional fee, this can be reserved at time of booking. Stallholders must supply all tables, chairs etc, and also gazebos for outdoor events. Gazebos must be weighted down appropriately, as pegs are not acceptable weights.

Stall sharing is permitted by prior agreement, provided both businesses are registered with Lunaqwa Markets and have their own $10m insurance. Competitions or raffles can only be run with prior written approval from Lunaqwa Markets.

Set Up & Pack Away

Bump-in details are typically sent out approximately one week before the event date, with setup starting around two hours before the start time. We will be on hand to guide you to your location and answer any last-minute queries.

Top Tip
Plan your route using Google Maps (or other apps), allow extra time for traffic, and if possible, visit the venue beforehand.

Pack away starts at the event finish time. We ask that no one packs up early, as it sends a bad signal to other stallholders and shoppers. Leaving early may result in future event cancellations.

The Unforseen

We monitor the weather as well as the news leading up to markets. Our goal is to proceed with every market, but the health and safety of our stallholders and shoppers is our top priority. So if required, we will cancel an event if there is a risk of potential hazards or safety concerns.

If the market is cancelled by Lunaqwa Markets or the venue, stallholders will be contacted via email, and given a credit for a future market. We understand that you may fall ill; if you are unable to attend, please let us know as soon as possible so we can bring someone in from the waitlist. This might help you get into a market you were waitlisted for in the future.

Top Tip
Make sure you are on the waitlist as you never know when someone might drop out.

Licenses, Permits & Insurance

All stallholders must provide their own public liability insurance of $10 million. We do offer temporary cover on a per-day per-event basis. However, some products cannot be covered—please check our exclusions list.

Food and drink sellers must have appropriate licenses and permits prior to trading. It is your responsibility to check if the council requires a local permit in addition to one from your home council.

We will try to help where we are aware of these requirements.
